Project Manager

We’re hiring a Project Manager to lead one-of-a-kind commercial projects from preconstruction through closeout. Working closely with the superintendent, you’ll own project delivery, financial performance, and day-to-day client communication. Our project managers combine technical and design judgment with the ability to make decisions, follow through, and identify risks early. Success means keeping commitments, protecting quality and profitability, and building lasting relationships with clients, design partners, subcontractors, and our team.

WHAT YOU’LL DO. As a project manager, you’ll be responsible for: • Taking ownership of project budget, schedule, commitments, and documentation from preconstruction handoff through final payment and closeout

  • Leading owner, architect, and contractor meetings; communicating clear decisions, action owners, and due dates; and following through with clients, design partners, subcontractors, and the field team
  • Resolving day-to-day issues within delegated authority and escalating material cost, schedule, safety, or client risks early with options and a recommended course of action
  • Partnering with the preconstruction team on estimates, constructability, bid coverage, scope gaps, and procurement planning
  • Leading a documented preconstruction-to-construction handoff covering budget assumptions, exclusions, allowances, contingencies, owner commitments, and schedule milestones
  • Owning the project budget, buyout, and cost controls; reconciling commitments and changes to the approved budget
  • Preparing monthly forecasts covering actual and committed costs, pending change exposure, cost to complete, contingency, and projected final margin; explaining variances and corrective actions
  • Developing value engineering recommendations with cost, schedule, quality, and design implications, and documenting approved decisions
  • Developing and maintaining the project schedule with the superintendent, including design decisions, permits, procurement, construction, inspections, and turnover
  • Coordinating weekly look-ahead planning with the superintendent, who leads daily field operations; identifying constraints and agreeing on recovery actions when milestones are at risk
  • Leading subcontractor bidding, scope review, buyout, and contract administration within delegated authority; coordinating performance, payment, compliance documentation, retainage, and closeout
  • Managing submittals and long-lead procurement from required-on-site dates; tracking approvals, releases, fabrication, and deliveries with subcontractors and the superintendent • Maintaining current project records in Procore, including RFIs, submittals, decisions, change logs, meeting minutes, and contract notices; assigning owners and tracking overdue items to resolution
  • Reviewing drawings, specifications, and shop drawings for scope and coordination issues; obtaining design-team clarification before affected work proceeds
  • Managing change events from identification through pricing, required notices, approval, and collection; documenting direction and authorization before changed work proceeds, subject to contract requirements
  • Preparing timely owner billings, reviewing subcontractor payment applications against progress and commitments, and coordinating receivables and payment issues with accounting
  • Delegating clearly to project engineers and support staff, reviewing their work, and developing their ability to take on greater responsibility
  • Partnering with the superintendent on safety and quality planning, supporting corrective action, and coordinating work around ongoing owner operations when facilities remain occupied
  • Planning closeout early and coordinating punch lists, record drawings, operations and maintenance manuals, warranties, training, final billing, and release of retainage
  • Coordinating post-occupancy follow-up and warranty issues, and sharing lessons learned with estimating, preconstruction, and operations
  • Building repeat client and subcontractor relationships and supporting company pursuits and community engagement as appropriate
  • The primary work location will depend on project assignments and may be at a project site, our Santa Rosa office, or our Napa office.

  • Proficiency with Procore; experience with Sage CRE project management and cost-control modules is preferred
  • Proficiency in Microsoft Office, Microsoft Project, and Bluebeam or comparable PDF review software
  • Experience with negotiated projects, preconstruction collaboration, public works, or construction in occupied facilities is a plus
