Reports to: Director of Marketing


Responsibilities


• Has a thorough understanding of the company's policies, procedures, products, ERP system, and manufacturing process sufficient to independently evaluate order status with minimal direction from a supervisor.
• Evaluates customer orders due within at least the next two weeks that are projecting late, determines the cause, and communicates/coordinates the necessary steps to get the order back on track.
• Manages and tracks all true expedites (orders given an expedited, non-system due date) from initiation through delivery, communicating issues as soon as they arise.
• Serves as the point person for Customer Service on delivery status updates and initial expedite requests, working with Planning and Manufacturing leadership to determine an achievable date.
• Monitors and tracks late jobs, late finished goods purchase orders, and ship-line-complete variances; generates and distributes daily/weekly expedite reports highlighting late or at-risk jobs.
• Physically walks the shop floor to verify job progress, part counts, machine status, and the location of work-in-process (WIP) material; identifies and communicates machine-down or capacity issues that put orders at risk.
• Coordinates with Purchasing on the status of outstanding raw materials, outsourced processes (heat treat, plating, coating), and vendor deliveries; assists in locating missing orders, parts, or components, and identifies alternative items to support open customer orders.
• Maintains and updates job status in the ERP/MRP system, flagging at-risk orders and escalating issues to management in a timely manner.
• Validates long lead-time estimates and evaluates the criteria/worthiness of expedite requests to control the number of expedites and avoid exceeding allowable limits.
• Tracks every expedite to collect root-cause data on why orders run late; helps Pareto the primary reason codes and reviews the data quarterly with leadership 
• Identifies recurring issues and helps put corrective actions in place to prevent them from happening again, reducing future expediting needs and supporting on-time delivery (OTD) goals.
• Supports inventory accuracy through cycle counts and WIP reconciliation as needed.
• Builds and maintains effective working relationships across Customer Service, Planning, Purchasing, Manufacturing, and Quality to align on disconnects as they are discovered.
• Follows all policies and procedures when processing orders and communicates any suggested changes to policies and procedures to the supervisor for review.
• Maintains timely and accurate records.


Requirements


• High school education with some additional formal education in a related field (manufacturing, supply chain, or business) preferred.
• Has the necessary training to be proficient in the position, including a working knowledge of the machine/production process.
• Minimum of two years of experience in manufacturing, production planning, customer service, or supply chain role, with demonstrated ability to meet the expectations of the position.
• Proficient with an ERP/MRP system; comfortable maintaining accurate, real-time data.
• High degree of urgency with strong follow-through on tracking orders to resolution.
• Excellent communicator, capable of interacting effectively with customers, sales, and internal departments (Planning, Purchasing, Manufacturing, Quality, Shipping) to achieve common goals.
• Strong analytical and problem-solving abilities; capable of identifying root causes and recommending corrective actions.
• Attention to detail in every aspect of the role, including ERP data entry and paperwork accuracy.
• Effective time management skills with the ability to manage multiple at-risk orders simultaneously.
• Excellent computer, written, and oral skills.
• High level of personal and professional integrity; committed to the company's values.
• Comfortable spending significant time on the shop floor as well as at a workstation.


Preferred Qualifications:


• Prior experience in aerospace, defense, medical device, or other tightly-tolerance precision machining industries.
• Familiarity with Lean Manufacturing or Six Sigma concepts.
• Experience with AS9100 or ISO 9001 quality system documentation requirements.


Performance Expectations:


• Reduce the amount of time spent chasing expedite orders and respond to duplicate requests for the same order across Customer Service, Planning, Sourcing, and Manufacturing.
• Maintain on-time delivery (OTD) performance targets set by operations leadership.
• Proactively flag at-risk jobs at least 24-48 hours before a missed deadline whenever possible.
• Provide accurate, real-time job status updates with minimal errors in ERP data entry.
• Contribute to continuous improvement efforts, using root-cause/reason-code data to reduce the recurring causes of production delays over time.
