Job Summary

The Inside Sales Coordinator supports the identification, qualification, coordination, and pursuit of project-based sales opportunities, with a primary focus on the bid-spec, municipal, government, and construction markets.

This role actively searches for opportunities, reviews and organizes project documents, coordinates opportunity intake, supports bids and proposals, manages prequalification requirements, and maintains accurate opportunity information within the CRM. The Inside Sales Coordinator works closely with Sales, Estimating, Engineering, branches, and other internal teams to ensure opportunities are identified early, properly qualified, and positioned for successful pursuit.

Prior technical experience is not required; however, success in this role requires curiosity, strong learning aptitude, and a willingness to develop an understanding of pumping, dewatering, construction documents, and related technical applications.

 

Typical Duties and Responsibilities

Opportunity Identification & Qualification

  • Proactively identify project opportunities through bid-spec and procurement platforms such as BidNet, BidPrime, SAM.gov, ConstructConnect, BuildingConnected, GSA, and other industry resources.
  • Review bid notices, plans, specifications, geotechnical information, and other available project documents to identify opportunities applicable to the company's products and services.
  • Research, collect, organize, and summarize relevant project information to support Sales, Estimating, Engineering, and branch teams.
  • Assist in qualifying opportunities based on scope, location, schedule, customer requirements, and company capabilities.
  • Ensure qualified opportunities are entered, assigned, and accurately maintained within the CRM.
  • Act as a first point of contact for inbound customer calls and web leads, gathering sufficient information to understand the opportunity and route it to the appropriate team or representative.
  • Communicate professionally with customers, contractors, engineers, owners, municipalities, and other project stakeholders to obtain information necessary for opportunity evaluation and pursuit.

Bid & Proposal Coordination

  • Coordinate bid and proposal requirements, including due dates, required forms, certifications, supporting documentation, and submission requirements.
  • Assist Sales and Estimating with preparation of basic quotes for appropriate rental and sales opportunities.
  • Coordinate bid submissions to ensure required documentation and supporting materials are complete, accurate, and submitted on time.
  • Assist with gathering project information and technical documentation required for proposals, submittals, reports, and other customer deliverables.
  • Develop and maintain project experience, reference, technical resource, and supporting-document databases to improve proposal quality and efficiency.
  • Support municipal, government, cooperative purchasing, and other procurement programs applicable to sales pursuits.

Prequalification & Sales Readiness

  • Coordinate customer and contractor prequalification requirements with branches and applicable corporate departments.
  • Complete and maintain customer prequalification portals, forms, and supporting documentation.
  • Maintain current company information commonly required for bids, prequalifications, vendor registrations, and customer approvals.
  • Assist with obtaining and maintaining certifications, registrations, and other qualifications that support successful project pursuit.

CRM & Process Support

  • Maintain CRM data integrity through ongoing opportunity tracking, auditing, and database maintenance.
  • Help ensure opportunities are properly documented and progressed through the sales process to support reporting, forecasting, accountability, and follow-up.
  • Identify opportunities to improve sales-support processes, tools, documentation, and workflows.
  • Support the development of standardized resources and processes that improve consistency and efficiency across Sales, Estimating, Engineering, and branch teams.
  • Provide Marketing with technical, project, and job-specific information needed to develop relevant sales and marketing resources.
  • Assist with onboarding and training support for sales-related positions, including coordinating resources, documenting processes, and developing supporting materials.

Qualifications

  • Experience in the bid-spec, construction, municipal/government procurement, project coordination, estimating support, or related market preferred.
  • Experience reviewing or working with construction plans, specifications, bid documents, or project documentation preferred.
  • Experience coordinating quotes, proposals, bids, or formal submissions preferred.
  • Construction industry experience preferred.
  • Experience with CRM systems and maintaining accurate sales or project data preferred.
  • Previous exposure to pumps, pumping applications, dewatering, groundwater, soils, geotechnical information, underground construction, or related technical applications is a plus, but not required.
  • Curious and eager to learn, with the aptitude to understand and apply technical product, application, and project information.
  • Strong research and information-management skills, with the ability to identify relevant information within large or complex sets of project documents.
  • Strong planning and organizational skills with the ability to manage multiple opportunities, priorities, and deadlines simultaneously.
  • Clear, professional written and verbal communication skills.
  • Proficiency with Microsoft Office, particularly Excel, and the ability to learn additional business and industry software.
